Kangaroo Island Coachlines Fleet Management System
A private Fleet Management System for Kangaroo Island Coachlines, bringing buses, utes and service vehicles together with servicing, inspections, repairs, renewal reminders and reporting.

Fleet staff need to keep vehicle details, servicing, inspection results, repair follow-ups and supporting documents current, while clearly distinguishing missing information from confirmed records.
Built a staff-facing fleet application within WordPress, organised around vehicle profiles and everyday maintenance tasks. Searchable records, status labels, supporting files and update history help staff find the correct vehicle and check what changed. A step-by-step staff manual supports the handover.
The supplied staff manual and mobile recording document vehicle management, service and repair tracking, inspections, renewal reminders and downloadable reports in one private system. This case study presents those capabilities, not measured time savings or safety outcomes.

What we delivered
A practical internal tool for keeping fleet information and maintenance follow-ups connected. The documented scope covers the following staff workflows.
Vehicle records & evidence
- Shared system for buses, utes and service vehicles, with registration and fleet-number search
- Vehicle profiles covering recorded details, odometer readings and renewal dates
- Photos, invoices and inspection reports attached to the relevant records
- Update history showing the author, date and changed values; archive and restore workflows
Maintenance & follow-up
- Planned servicing and completed maintenance records, including completion dates
- Maintenance costs and repeat servicing workflows
- Inspection results and repair follow-ups with responsible person, due date and progress status
- Weekly fleet emails and registration and insurance renewal alerts based on recorded expiry dates
Reporting & staff handover
- Labelled Excel workbook downloads and CSV record exports
- Reminder settings and email previews, plus reviewed CSV import workflows
- Staff login and administrator account guidance
- Illustrated manual covering everyday tasks, troubleshooting and phone use
Built to be maintained, not just launched
The Fleet Care Staff Manual explains how authorised staff use the system, from logging in to saving and rechecking a vehicle record.
A repeatable daily routine
Check the overview, select the correct vehicle, enter confirmed information, save, attach supporting evidence and reopen the record to check it.
Clear status meanings
The guide separates missing information, approaching deadlines, overdue work and open repairs. Active fleet status alone does not establish roadworthiness.
Mobile-friendly task navigation
The supplied phone recording demonstrates icon-labelled navigation for vehicles, services, inspections, reports and settings.
Operational boundaries
This is a record tracker. Staff must still follow the business's vehicle safety and inspection procedures and verify renewal details against official records.
The application is private. Staff login links, operational records and the full staff manual are not published in this portfolio.
